Role Overview

Job Title: Assistant for Administration and Accounts (Entry-Level Jobs)

Organization: Donswift

Duty Station: Kampala, Uganda

Perfect for fresh graduates or those with 2 years of experience looking to grow in admin and finance.

Key Responsibilities

Administration and Reception
  • You are in charge of the front office and are the first person clients, suppliers, and visitors see when they come in. You also make sure that the office is clean and organized.
  • Answer phone calls, emails, and letters in a professional way, and also write and send out internal memos and communications.
  • Keep the office's filing systems (both digital and physical) up to date, including records of staff, attendance, and leave schedules (if needed).
  • Help buy office supplies, keep track of petty cash, and plan deliveries, meetings, and appointments.
  • Take care of relationships with service providers like cleaners, maintenance workers, delivery people, and others.
  • Help with the practicalities of hiring additional workers when needed.
Bookkeeping and Accounting
  • Keep precise records of everyday financial activities and books of accounts.
  • Make simple financial statements, like cash flow updates and summaries of income and expenses.
  • Take care of payments to suppliers, invoices, and receipts.
  • Keep track of and reconcile transactions made with banks and mobile money.
  • Handle payroll for all employees and make sure that salary and other required payments are made on schedule.
  • With URA, file your monthly taxes, such as PAYE, NSSF, VAT, and income tax.
  • When necessary, work with an outside accountant or auditor.
Duties of a Personal Assistant
  • Keep track of the Director's appointments, schedule, and travel arrangements.
  • Help in writing letters, making documents, and filing personal or business-related papers.
  • Do small tasks for the Director from time to time.
  • Keep track of important dates, deadlines, and renewals (such licenses and subscriptions).
Reporting
  • Give weekly and monthly overviews on:
    • Cash flow and little cash balances.
    • Costs and payments that are still due.
    • Important updates and actions done for the administration

Qualifications, Education, and Skills

Education: A diploma in business administration, accounting, or a related field

Experience: 2 years
