Purpose of the Position

To provide administrative services to the project that are efficient accountable and transparent the purpose of this position is to provide assistance to the Administration Supervisor in the implementation of all administrative activities at the project level in collaboration with colleagues from the Admin Office Additionally this position is responsible for ensuring that all administrative procedures are successfully followed

Obligations and Responsibilities

1. Control and administration of the situation

  • To guarantee that the purchasing policy and administration processes are implemented in accordance with the guidelines outlined in the Administrative and Financial Manual and Work Instructions and to adhere to the standards that have been established by the organization it is necessary to make a contribution
  • Ensure that all project papers are preserved in a manner that is in accordance with the company's internal laws and regulations as well as the obligations that are imposed by the outside world
  • Please ensure that receipts and invoices are registered in accordance with the accounting system of the organization and the Work Instructions
  • You are required to file your taxes using the URA site and ensure that you meet the deadlines that are associated with it
  • You are required to submit the information of your social insurance on the NSSF portal and ensure that you satisfy the dates that are associated with it in the event that audits are conducted
  • In accordance with the orders that have been obtained by the supervisors it is necessary to interact with officials and appropriate authorities
  • Provide assistance to team members in their interactions with suppliers

2. Control of Cash Flow

  • If necessary assume responsibility for a small safe and handle cash by adhering to the procedure and instructions that have been provided
  • Manage financial advances and maintain the books pertaining to the advance
  • It is imperative to manage cash by utilizing official instruments and ensuring that internal rules are respected

3. Paid pay for national staff

  • Ensure that the Personnel Database is monitored and updated
  • Assemble the payroll ensuring that all salaries taxes NSSF allowances overtimes salary advances and loans are accurately recorded and included in the calculations
  • After receiving approval from the supervisors it is necessary to issue pay slips and carry out the payment of salaries
  • Make certain that every single pay slip is printed authorized distributed to the workforce and signed by them
  • All personal records of staff members should be kept confidential

4. Documentation

  • In accordance with the strategy that was agreed upon it is necessary to provide periodical updates on the current condition of the works
  • Produce unique reports in response to individual requests

Skills Required

  • One must possess a Bachelor's degree in either Business Administration or Accounting
  • Two to three years of demonstrated experience in roles that are comparable
  • One must possess a comprehensive understanding of the Microsoft Office suite including Excel Word and PowerPoint at a proficient level
  • We would prefer those who are fluent in English and possess the capacity to operate well in an international setting

Workplace Conditions

  • A fixed-term employment contract lasting for a period of six months is intended to be renewed based on acceptable performance and the requirements of the business
  • The monthly income ranges from UGX 1360000 to UGX 1700000 depending on the level of experience and the internal salary system
  • GPA (Group Personal Accident) National Social Insurance and Health Insurance are examples of social benefits obtained by individuals
  • In terms of leaves there are 21 paid leave days and extra sorts of leaves
