Job Summary
The E!BA Field Operations Coordinator at Educate! will ensure smooth field operations by managing youth transportation, venue and vendor coordination, partnerships, and logistics for boot camps and programs. The role involves supervising Field Operations Officers, ensuring timely delivery of resources, and collaborating with multiple teams to maintain high-quality program execution.
Roles, Duties, and Responsibilities
Coordination of Youth Transport (20%)
- Collaborate with Performance Metrics to verify youth attendance for travel reimbursement
- Ensure accurate, up-to-date payment information for youth, facilitating swift processing
- Address and document transportation concerns, resolving issues promptly
- Work with Finance to maintain accurate youth payment sheets and disburse funds on time
- Communicate transportation reimbursement processes and updates to staff and youth
- Resolve transit issues on the ground to ensure smooth operations
- Maintain detailed records of youth transportation, including payments and issues
- Monitor and manage transportation costs with the Field Operations Manager, optimizing Cost Per Youth (CPY)
- Ensure compliance with transport safety protocols for youth safety
- Update and improve transportation plans with the Field Operations Manager
Venue Sourcing and Vendor Management (20%)
- Update and share minimum venue standards with the leadership team
- Identify suitable venues for boot camps across operational districts
- Coordinate with Admin to secure meal vendors for programs
- Lead orientation for meal vendors to align expectations and standards
- Ensure vendors deliver quality meals on time during boot camps
- Document and address issues raised by venue managers or vendors
- Verify compliance with food safety and sanitation standards
- Maintain records of venue and vendor performance, costs, and capacity
- Conduct post-bootcamp debriefings to gather feedback and improve partnerships
- Ensure timely payments to venues and vendors with Admin and Finance
- Support Field Operations Officer in submitting venue quotes for approval
- Finalize venue agreements with Admin on time
- Oversee meal sign-in/out processes and ensure accurate documentation
- Develop and manage a comprehensive student meal plan for boot camps
Managing Partnerships (20%)
- Develop a partnership strategy to support seamless program execution
- Plan and execute district launches with the Field Operations Manager
- Build relationships with District Education Officers, Resident District Commissioners, and local officials
- Align venue management with boot camp goals for smooth operations
- Engage community leaders and youth representatives to foster local support
- Collaborate with external organizations to enhance program support
- Maintain regular stakeholder communication to address issues and align expectations
- Conduct post-program feedback sessions to strengthen partnerships
- Document partnership activities for transparency and accountability
- Identify new partnership opportunities aligned with Educate!’s mission
Coordinating Field Logistics and Materials (40%)
- Ensure timely delivery of boot camp materials with the Field Operations Officer
- Maintain an updated materials tracker with Admin and Program Management, ensuring timely PRF submissions
- Resolve material discrepancies in the field with Admin and Field Operations Officer
- Verify material balances post-bootcamp and ensure safe return to the office
- Coordinate with Finance for timely payments to logistics contractors and vendors
- Process field team requests promptly to support program continuity
- Assess and update material needs with other departments
- Monitor material usage to prevent shortages or excess during boot camps
- Manage logistics for material transport and storage, ensuring safety and condition
- Establish clear communication channels between office and field teams for material tracking
Qualifications, Education, and Skills
- Bachelor’s degree in Education, Business Administration, Social Sciences, Entrepreneurship, or a related field
- 3-5 years of professional experience in development work, startups, or social enterprises, in fast-paced environments leading diverse teams
- At least 3 years of leadership experience, including team management, budget oversight, and program reporting
- Strong organizational skills and proficiency in tools like Google Workspace and spreadsheets for planning and tracking
