Summary of the Job

The Executive Assistant works closely with the MD to make sure that priorities are clear and that executive operations function efficiently

The job includes managing complicated calendars schedules and meetings with people inside and outside the company

It also includes planning travel (flights hotels visas) making board-ready documents and presentations keeping digital records organized and making sure that action items are completed

Responsibilities, Roles, and Duties

  • Keep track of the MD's schedule and set up and arrange meetings and appointments with both internal and external stakeholders
  • Be the MD's main point of contact—screen calls emails and visitors make sure communications are clear and timely
  • Plan and take care of all the details of trip like flights hotels visas and itineraries
  • Make sure that documents reports and letters are correct well-formatted grammatically correct and include the right information
  • Set up meeting materials take notes keep track of action items and make sure follow-up is done on time
  • Create and improve executive presentations (for both internal and external audiences) write draft reports and background briefs do research as needed
  • Keep digital file systems and private records in order
  • Fix or escalate problems with office administration work with vendors and internal teams to do this
  • Read rank and send out mail that comes in for the executive team
  • Help department heads business unit leaders and project managers talk to one other take notes and type them up
  • Be a professional face for the executive office to partners suppliers and visitors
  • Do other tasks that the MD gives you

Qualifications, Education, and Skills

  • A bachelor's degree in any field is required a master's degree (MBA/MSc/MA) is a plus
  • 5–8 years of demonstrated experience as a senior administrative or executive assistant preferably in the oil and gas or consulting industries
  • Expert knowledge of Microsoft Office and Google Workspace great skills in designing documents and presentations
  • Great written and spoken communication perfect attention to detail and privacy
  • Excellent time management and prioritization great calendar travel and logistical coordination
  • Good interpersonal and stakeholder management skills professional and confident demeanor
  • Good judgment problem-solving and decision-making the capacity to handle more than one deadline
  • Ability to handle projects and stick to deadlines and activities
Academic Qualifications
A bachelor's degree in any field (master's degree is a plus)
