Job Summary:
The Front Desk Representative will be the first person that visitors and callers see or talk to. They will do all of the receptionist and clerical work. This job needs a courteous, observant, and diligent person who can handle a lot of work while making sure that every guest feels appreciated and respected from the moment they contact us.

Main Duties and Responsibilities:
- Keep the front desk area clean, neat, and professional, with all the supplies you need.
- Greet and welcome all guests warmly when they arrive.
- Answer and deal with visitor questions and complaints quickly and professionally.
- Handle all incoming calls, either by redirecting them or taking detailed messages.
- Efficiently receive and distribute all incoming mail, letters, and packages.
- Get mail ready to be sent by writing letters and packing packages.
- Check, sort, and send emails to the right departments.
- Keep track of the office supplies you have on hand and get more when you need them.
- Keep your records, files, and documentation systems up to date.
- Keep an eye on and keep track of the costs of running the office and doing business.
- Take care of extra administrative tasks including making travel plans and setting up appointments.
- Give correct information about the services and operations of the company
- Make sure that all visitors respect the security rules.
- Keep records of visitors and who has access to what.
- Set up and book meeting rooms
- Help other departments with administrative work when they require it
Requirements and Skills:
- Experience as a front desk representative or in a similar role
- Knowledge of how to use office equipment including fax machines and printers
- Knowledge of how to run an office and do basic bookkeeping
- Good in speaking and writing English;
- Very good at using Microsoft Office, especially Word and Excel.
- Strong communication and people skills
- Great at organizing and doing multiple things at once
- Good at addressing problems
- Professional behavior with a focus on customer service
- A high school diploma or something like it
- Extra skills in office administration (helpful)
- Ability to keep secrets and be discreet
- Professional look and attitude
