This person must have experience doing well in an administrative function be able to handle multiple tasks at once and have a special talent for dealing with the unexpected
They will be very important in making sure that the office surroundings of the company run well To do well in this job you need to have a mix of organizational communication interpersonal and technical abilities Also being able to adapt to new situations and solve problems is very important for dealing with the many problems that can come up in a busy workplace
Duties
Make sure that the office runs well by keeping an eye on operational efficiency effective communication and other strategic and tactical planning while also putting into place and keeping up with office administration rules and procedures
Handle the company's facilities such as planning and designing spaces dealing with vendors and their contracts and running the office
Be the main point of contact between the company's employees and the building managers by giving them information addressing their queries and fulfilling their requests
Make sure that the workplace culture and employee experience are positive productive and efficient while still meeting the organization's goals
Welcome people who come to the office answer and direct phone calls handle questions and keep the business running smoothly by scheduling repairs
Do a lot of administrative tasks like writing and sending memos letters spreadsheets forms and faxes as well as sorting and sending out mail that comes in
Be in charge of communication as the Communication Liaison Officer which means being the main point of contact for outside administrative communication such as handling emails phone calls and other types of communication The administrator will help different departments and office locations talk to each other
Facilities Management which includes making sure that office buildings are safe and well-maintained arranging office logistics including space and equipment upkeep and dealing with vendors and service providers
Be the main point of contact for employees and help plan and organize company events meetings and conferences Also make travel and lodging arrangements for staff as needed
Office Management which means keeping an eye on and organizing the everyday tasks of the office and making sure that resources such as office supplies and equipment are used efficiently The administrator will also put in place and keep up with office rules and procedures
Financial Administration which is helping with budgeting and planning for office-related costs If necessary handle invoices keep track of spending and keep financial records To make sure that financial reports are correct you will need to work closely with the finance department
Be in charge of managing the inventory to make sure that the company's assets are properly tracked

Customer (Internal and External) Service experience which is giving great service to both internal and external customers and answering questions and concerns quickly and professionally
Basic technical skills such as being able to use office software (like Microsoft Office Suite) and having a basic understanding of how technology infrastructure and systems work
Able to work alone and with others and is self-motivated
Solving problems by dealing with and fixing administrative problems and challenges Find areas that could be better and suggest and put into action ways to make things run more smoothly
4 years of experience in an administrative function with proven ability to work well in a busy setting
