Job Summary:
The Procurement and Administration Officer is in charge of the logistics, procurement, and administrative tasks that keep Teach For Uganda's program and office running smoothly.
The Officer will be in charge of planning purchases, managing assets, coordinating the fleet and logistics, and streamlining administrative tasks to make the organization more efficient.
This job will also be very important for event planning, vendor management, and making sure that TFU follows its procurement standards and the rules set by its donors.
Main Duties and Responsibilities:
Buying Things (35%)
- Follow TFU rules and donor rules when carrying out and keeping an eye on the annual procurement plan.
- Oversee the procurement process, which includes getting quotes, analyzing bids, and evaluating vendors.
- Keep the supplier database up to date and handle connections with vendors.
- Help with meetings of the procurement committee and keep clear records.
- Work with Finance to make sure that vendors are paid on time and that tracking reports are correct.
- Do market research and keep a database of current market prices.
- Find and report any fraud, conflict of interest, or lack of compliance.
Administration and Office Management (25%)
- Oversee communication at the front desk, office correspondence, and visitor coordination.
- Keep the office clean and supervise the cleaning company.
- Manage office supplies, stationery, and consumables.
- Help plan meetings, workshops, and events.
- Make travel arrangements and provide logistical support for guests and staff.
- Make sure that filing systems and documentation are effective.
Fleet and Logistics Management (20%)
- Keep track of vehicle movements, fuel use, and maintenance schedules.
- Prepare monthly fleet reports and keep detailed records.
- Manage the allocation, scheduling, and maintenance of TFU's fleet.
- Make sure drivers and riders are licensed and taught in safety rules.
- Make sure that vehicle insurance and registration are done on time.
Asset and Inventory Management (10%)
- Keep an up-to-date asset registry with the right tags and paperwork.
- Regularly check and verify assets in person and reconcile them.
- Safely dispose of or reassign damaged or out-of-date items.
- Help with frequent asset audits and provide management reports.
Support and Compliance (10%)
- Make sure that TFU and donor rules are followed.
- Hold refresher workshops for staff on how to conduct things.
- Encourage openness, responsibility, and ongoing progress.
Experience and Qualifications:
- A bachelor's degree in business administration, logistics, procurement and supply chain management, or a related field
- At least two years of relevant experience in procurement, logistics, and administration
- Experience in a nonprofit or donor-funded organization is preferred
- A strong understanding of procurement rules and donor compliance requirements
Knowledge and Skills:
- Experience managing fleet operations and event logistics
- Good at running an office and doing administrative tasks
- Good in keeping track of assets and doing audits
- Being able to keep track of, evaluate, and report on operational metrics
- Great at talking and writing to people
