Job Summary:

The Procurement Assistant will help with buying a wide range of goods and services for UNODC operations by providing logistical, administrative, and procurement support.

Main Duties and Responsibilities:

  • Help a team of Procurement Officers with buying things, logistics, and administrative tasks.
  • Check, record, and rank purchase requests, and get more information or documents as needed.
  • Keep an eye on the status of current requisitions and stay in touch with suppliers to make sure they deliver on time.
  • Create tender documents like Invitations to Bids, Requests for Proposals, and Requests for Quotation.
  • Prepare summaries of offers and gather information from quotations, proposals, and bids.
  • Finish up purchase orders and contracts so the Procurement Officer can approve them.
  • Help the right officers with more complicated and expensive purchases.
  • Keep track of essential internal databases and files and keep track of contracts.
  • Find, gather, and present information on vendors and sources of supplies.
  • Write routine letters
  • Help in gathering data, analyzing it, and writing reports
  • Do other tasks as needed

Requirements and Experience:

  • A high school diploma or equivalent is required.
  • A Level 4 Diploma in Procurement and Supply from the Chartered Institute of Purchasing and Supplies (CIPS) is also required.
  • At least five years of progressively responsible experience in procurement, contracts management, administration, or a related field.
  • For candidates with a first-level university degree or higher, the required experience is reduced to three years.
  • Experience with finding vendors and working with vendor databases.
  • Experience using an ERP (Enterprise Resources Planning) system at work
  • It would be good to have worked with SAP (System, Applications & Products) or Umoja before.
  • It would be good to have experience with procurement and contract management in a global company.

Languages:

  • English: UN Level II needed (Reading, Writing, Listening, Speaking)
  • French: UN Level II is a plus (reading, writing, listening, and speaking)

Skills:

  • Professionalism: Knows how to follow procurement rules, regulations, and procedures.
  • Planning & Organizing: Can set clear goals and change priorities as needed.
  • Accountability: Takes responsibility for duties and keeps promises.
