Job Summary:
The Procurement Assistant will help with buying a wide range of goods and services for UNODC operations by providing logistical, administrative, and procurement support.
Main Duties and Responsibilities:
- Help a team of Procurement Officers with buying things, logistics, and administrative tasks.
- Check, record, and rank purchase requests, and get more information or documents as needed.
- Keep an eye on the status of current requisitions and stay in touch with suppliers to make sure they deliver on time.
- Create tender documents like Invitations to Bids, Requests for Proposals, and Requests for Quotation.
- Prepare summaries of offers and gather information from quotations, proposals, and bids.
- Finish up purchase orders and contracts so the Procurement Officer can approve them.
- Help the right officers with more complicated and expensive purchases.
- Keep track of essential internal databases and files and keep track of contracts.
- Find, gather, and present information on vendors and sources of supplies.
- Write routine letters
- Help in gathering data, analyzing it, and writing reports
- Do other tasks as needed
Requirements and Experience:
- A high school diploma or equivalent is required.
- A Level 4 Diploma in Procurement and Supply from the Chartered Institute of Purchasing and Supplies (CIPS) is also required.
- At least five years of progressively responsible experience in procurement, contracts management, administration, or a related field.
- For candidates with a first-level university degree or higher, the required experience is reduced to three years.
- Experience with finding vendors and working with vendor databases.
- Experience using an ERP (Enterprise Resources Planning) system at work
- It would be good to have worked with SAP (System, Applications & Products) or Umoja before.
- It would be good to have experience with procurement and contract management in a global company.
Languages:
- English: UN Level II needed (Reading, Writing, Listening, Speaking)
- French: UN Level II is a plus (reading, writing, listening, and speaking)
