Position Overview

Within the realm of ensuring the seamless and effective implementation of programs and projects the position plays a critical and essential role

 The PAA will provide program administrative and operational assistance to the program and operations team as well as contribute to the overall delivery of the AWF Uganda Country Program .

This will be accomplished in partnership with the Senior Programme Manager and the Senior Finance and Administration officer In particular he or she will be responsible for providing vital support for the planning , implementation and monitoring of Country programs and projects as well as contributing to other aspects of program administration such as administrative work , logistical support and data management

Key Responsibilities

Assisting with the program

  • The role entails providing assistance in conducting research in certain areas and making contributions to the creation of concept papers and strategies
  • Provide assistance in the monitoring of programs and projects as well as the record of lessons
  • In addition to providing assistance in the process of identifying and maintaining contacts and productive relationships with partners
  • In accordance with the requests made provide assistance in the organization of events meetings and travel as well as the compilation of minutes and correspondence
  • It is necessary to gather organize and provide assistance for the analysis of data that pertains to program activities as well as to prepare reports and manage databases
  • I am providing assistance in the monitoring and assessment of activities related to the program or project

Assistance with administrative and operational details

  • Ensure that the provision of general administrative support is carried out in an effective manner which include clerical activities connected to the office filing and providing assistance to visitors
  • I am responsible for coordinating the calendar of the Country Director arranging meetings and providing assistance in the design of the weekly agenda as well as the day-to-day operating requirements
  • Please make arrangements for both internal and external appointments and meetings document the minutes of the meetings and ensure that action items that were agreed upon during the discussions are followed up on
  • Help with the logistics including making travel arrangements booking accommodations organizing workshops and organizing events
  • Assistance with financial activities the acquisition of supplies the gathering of mail and the delivery of packages
  • I am responsible for monitoring and controlling the consumption of office consumables and stationery as well as providing assistance in keeping stock and doing inventory updates
  • Provide assistance in the process of acquiring the necessary supplies and equipment for cleaning and maintenance purposes
  • I am responsible for ensuring that all office equipment is in a state of proper functioning and for maintaining the cleanliness and orderliness of the office premises and the spaces surrounding them
  • Ensure that timely support is provided and follow up on the operational needs of the landscape
  • Before entering the field cash expenditures and reports into the AWF Accounting system it is important to perform a collaborative effort with the Finance team to review and process activity advances Additionally it is essential to closely monitor the accountability of all field cash expenditures
  • Assist with the processing of vendor invoices in order to ensure prompt payments at the end of each month validating the eligibility of the invoices that have been filed and finding any gaps or documents that may be missing
  • Any additional responsibilities that have been assigned

Essential Skills and Requirements

  • Possessing a degree in development studies along with practical expertise in development projects and programs including planning implementation and monitoring
  • A minimum of two years of work experience that is of relevance in the field of program or project management
  • The individual possesses knowledge and experience in the management of office systems and procedures
  • Capability to perform many tasks as well as prioritize daily burden
  • With a high level of honesty and a keen attention to detail the individual possesses exceptional organizing skills
  • Capable of working with varied teams agile and flexible in their approach
  • Possessing exceptional interpersonal abilities
  • I possess exceptional abilities in both verbal and written communication
  • The capability to evaluate and respond correctly to situations that are constantly evolving
  • Capability to demonstrate initiative and operate under minimum supervision while working independently
  • Professionalism in the utilization of computers particularly in the areas of Microsoft Excel and Word as well as accounting databases
