Job Summary

The National Project Coordinator will be in charge of the Finance and Administrative Assistant.They will handle the project's finances and administration with the highest levels of honesty, discretion, and responsibility.

 He or she will offer a variety of specialized financial and administrative support services in a way that is efficient, effective, and focused on the customer. Using the enterprise resource planning (ERP) system to handle transactions for payment processing and financial clearance is part of the job The person in this position works at a completely operational level and addresses a range of operational problems, both recurring and non-recurring .

This requires them to know how to follow financial rules, policies, processes, and guidelines

Duties, Roles, and Responsibilities

  • Keep track of project finances by keeping records and monitoring systems that record and balance expenses, payments, statements, and other data for daily transactions and reports
  • Check, review, process, and prepare all paperwork, including contracts, and make sure that everything is correct and accurate for payments and financial clearances
  • Write letters on your own to check data, answer questions, and follow up as needed with project and ILO officials, consultants, and counterparts Bring to the attention of the right people things that need to be dealt with right away
  • Check the financial reports of project implementing partners and ask for more information if needed Make sure they follow ILO guidelines before sending them to the Finance Unit
  • Sort and allocate budget codes, review and process payment claims, and check payment vouchers, pricing, and claims invoices
  • Help project staff and consultants with payments, entitlements, travel claims, and other financial and administrative needs related to accounts and finances
  • Talk to the Finance Unit and the project team about rules, regulations, and processes Make sure that project workers, partners, and consultants know about any new or changed procedures and practices
  • Make sure you write the regular reports on time, and help with writing special reports for donors, budgets, audits, or other purposes
  • As needed, figure out and put together cost estimates and help with budget analysis and predictions
  • Help out with the planning and running of project workshops and meetings when needed
  • Do any other tasks that are given to you

Qualifications, Education, and Skills

RequirementDetails
EducationGraduation from high school Having formal training or Certificate in accounting, finance, or administration would be helpful

Other Qualifications and Experience:
At least five years of increasingly more responsibility work in finance and administration
Languages:
Good working knowledge of another language spoken at the duty site and excellent command of English
Skills:
Knowledge and knowledge of a complicated set of rules, guidelines, and processes for finances and administration
Understanding of how to make and keep filing systems, as well as how to fill out administrative forms and prepare papers in-house
Good at analyzing things
 

The ability to think logically and make good decisions
Ability to keep track of money and make reports and statements for accounting
Show that you can be responsible and pay attention to the little things
Ability to handle private problems with care
Show that you have high standards of moral behavior
Able to use Microsoft Word, PowerPoint, Excel, and Adobe Reader, as well as other software programs that the Office needs (such IRIS)
Ability to look at letters and questions and decide what to do next
Ability to answer work-related questions in a polite way
Ability to get help from other work units, either inside or outside the office, to finish assignments
Ability to speak and write clearly
Ability to operate alone and as part of a team
The ability to organize things
Being able to deal with people with tact and diplomacy
You also need to be able to work in a multicultural setting and be aware of how your behavior and attitudes affect others of different genders
