Job Summary
World Vision Uganda is seeking a dynamic National Sponsorship Operations Coordinator to manage and enhance its child sponsorship operations.
The role involves overseeing correspondence, ensuring compliance with partnership standards, supporting program design, and fostering stakeholder engagement to drive child well-being and program impact.
Roles, Duties, and Responsibilities
Sponsorship Operations Management
- Manage the sponsorship correspondence unit and supervise Sponsorship Correspondence Assistants to ensure quality operations within partnership standards
- Monitor and share periodic Sponsorship Operations Indicators (SOIs) performance, addressing issues in sponsor letters, e-letters, parcels, cards, and support office requests
- Track and advise on Registered Children (RC) monitoring to meet the 90-day partnership standard
- Manage RC selection, supply, and recruitment to maintain a 102% commitment with Support Offices
- Conduct performance appraisals, tracking, and coaching for Sponsorship Correspondence Assistants
Sponsorship Operations Plan (SOP) Design and Monitoring
- Collaborate on sponsorship feasibility and risk assessments for new Area Programs (APs)
- Support the design of National SOP, Detailed Implementation Plans (DIPs), log frames, and budgets
- Monitor SOP implementation and conduct annual learning and reflection forums
- Guide SOP evaluations, baseline surveys, and quality reviews of DIPs, budgets, and reports
- Provide quality assurance for AP transition processes, including farewell letters and community videos
- Consolidate and submit monthly, quarterly, and annual SOP performance reports
Staff Mentorship and Capacity Building
- Coordinate production of Annual Progress Reports, Child Engagement Worksheets, Christmas Cards, and RC Wellbeing Data Updates, ensuring reconciliation with APs, Regions, Support Offices, and the Global Centre
- Support timely and accurate RC wellbeing and biodata updates, providing technical guidance
- Develop quality assurance guidelines for annual content and child engagement
- Collaborate on National Office annual and seasonal messages/videos with transformation facts
Sponsor Engagement and Content Production
- Develop and update the National Child and Community Content Production Plan per Global Centre guidelines
- Train staff and volunteers on capturing quality media content and coding
- Review Sponsorship 2.0 child and community media content reports and take necessary actions
- Coordinate production of special videos and photos, such as manager’s annual videos and community updates
- Document and publish child impact stories with the Communications team
Registered Children’s Participation and Benefit
- Support establishment and functionality of Child Development and Participation Centres
- Ensure RCs are mapped and tagged for age-appropriate interventions
- Develop integrated RC participation frameworks and case management guidelines
- Monitor and share RC wellbeing participation reports for case management
- Develop and roll out child engagement tools (e.g., Storyteller) and participation guidelines
Gifts Management
- Manage and reconcile Gift Notifications (GNs) and Community GNs with APs and Support Offices
- Provide periodic updates on GN implementation and submit bounce-back proposals/reports
- Collaborate to ensure timely gift implementation and document success stories
Risk Management and Compliance
- Identify, evaluate, and mitigate risks affecting sponsorship operations
- Develop disaster mitigation plans and conduct regular compliance checks
- Train staff on compliance and safeguarding standards
- Maintain records of compliance activities and report to the sponsorship manager
Stakeholder and Partner Engagement
- Engage with Regions, Support Offices, and the Global Centre on correspondence assignments
- Coordinate sponsor visits and facilitate integration with IPF professionals for technical support
- Support local partnerships through training and timely MOU renewals
Qualifications, Education, and Competencies
- Bachelor’s Degree in Social Sciences, Business Computing, Information Technology, or a comparable discipline from a recognized university
- Minimum of 3 years’ experience in staff and community engagement to meet operational demands within standards
- High discipline in executing tasks within stringent schedules
- Ability to work collaboratively with teams and a commitment to Christian values
Key Skills
