Our client is a top investment management company in Uganda that is committed to giving clients the best investment options They are looking for an Admin and Finance Assistant to help their Managing Director manage daily tasks in a very organized, professional, and effective way.

 The best applicant will give the Managing Director full administrative and executive support, making sure that the office runs smoothly and efficiently. The Admin and Finance Assistant will be very important in helping our client's many businesses run smoothly and successfully

 The Administrative and Financial Assistant will also help the management team run the company by providing important administrative and operational support across several business divisions in the company's investment portfolio. This job needs someone who is proactive, pays attention to detail, and is very private.

 They also need to have great communication and people skills, as well as good organizational and problem-solving skills The Admin and Finance Assistant will be in charge of all the company's money matters This post requires a strong analytical and strategic thinker with a proven track record of success in financial management and accounting

Responsibilities, Duties, and Roles

Managing your diary and schedule

  • Plan the Managing Director's schedule, which includes creating and keeping track of appointments, meetings, and, if necessary, travel plans
  • Make sure that meeting materials are ready and sent out on time

Management of Communication and Coordination

  • Answer all business calls and emails that come in, and reply to questions as needed
  • Write and get ready for letters, memoranda, and presentations
  • Talk to clients, team members, and vendors clearly and effectively
  • Make sure that communication and information flow smoothly between the company and its portfolio clients
  • Make and keep good working relationships with coworkers from other departments

Help with administration

  • Keep accurate and well-organized records, such as finance paperwork, compliance documentation, and expense reports
  • Make sure that the office runs smoothly, including getting supplies and equipment
  • Help get ready for reports and presentations
  • Keep correct and up-to-date records and compliance filings for both the company and each client

Support for Operations

  • Help with the daily tasks
  • Help in coordinating and carrying out projects for certain clientele

Data Entry and Management

  • Keep firm databases and systems up to date and correct by entering data on time
  • Make reports and look at data when you need to

Finding solutions

  • Find and fix problems with administration and operations before they happen
  • Give ideas for how to make procedures more efficient and run more smoothly

Planning and analyzing finances

  • Watch over the finance department's everyday work
  • Make financial plans and budgets that fit with the goals of the firm
  • Do financial forecasting and analysis to find patterns, figure out hazards, and help with strategic decision making
  • Make and look at financial statements such cash flow statements, income statements, and balance sheets

Reporting on finances

  • Make sure that management and other important stakeholders get accurate and timely financial reports from the management company
  • Get all the tax returns and regulatory filings ready and send them in The Uganda Registration Services Bureau and the Uganda Revenue Authority
  • Keep strong internal controls in place and make sure you follow all accounting rules and standards that apply to you

Managing Money

  • Take care of everything to do with accounts receivable and accounts payable
  • Make sure the organization has enough cash on hand and manage its cash flow
  • Keep an eye on and control costs to maximize profits

Keeping track on how well investments are doing

  • Keep an eye on and evaluate how well investments are doing in all portfolios
  • Prepare performance reports for investors and other stakeholders

Coordinating the project

  • Help with specific initiatives that the Managing Director gives you
  • Help with planning meetings and events

Privacy and Discretion

  • Keep any private information as private as possible

EducationA bachelor's degree in finance or something similar
Experience1–2 years of experience working in a field linked to finance
