Job Summary

The Manager of Milk Procurement and Extension at Ruko Establishments Milk Factory ensures a steady supply of high-quality milk by overseeing sourcing, managing supplier relationships, and supporting farmers. The role involves building a reliable network of milk suppliers, promoting best dairy farming practices, and ensuring compliance with quality and safety standards.

Roles, Duties, and Responsibilities

  • Plan and coordinate daily milk collection from farmers, cooperatives, and collection centers
  • Maintain an updated database of milk suppliers and collection routes
  • Monitor milk volume, quality, and delivery from all suppliers
  • Negotiate and manage supplier contracts in line with company procurement policies
  • Communicate with suppliers regarding payments, quality standards, and delivery schedules
  • Organize and conduct farmer training on animal care, hygiene, and milk handling
  • Collaborate with veterinarians and extension workers to improve breeding, disease control, and feed management
  • Educate farmers on quality milk production, hygiene, and cold chain management
  • Provide farmers with guides, technical information, and resources to enhance productivity
  • Ensure quality and safety tests are conducted at collection centers before milk is sent to the factory
  • Verify milk meets company and regulatory standards (UNBS, ISO, HACCP)
  • Address milk quality issues with farmers to implement corrective actions
  • Maintain accurate records of milk procurement, supplier details, and payments
  • Track daily milk flow and supplier performance using digital tools or spreadsheets
  • Generate regular reports on milk collection, supplier performance, and field activities
  • Analyze data to identify opportunities for increasing milk supply and reducing losses
  • Supervise field extension officers, milk collection clerks, and transport crews
  • Assign field routes, monitor performance, and provide on-the-job coaching
  • Collaborate with Finance, Quality Assurance, and Production departments for seamless operations
  • Build partnerships with farmer groups, cooperatives, and local governments
  • Represent the factory in stakeholder meetings and dairy development programs
  • Foster long-term relationships to enhance the factory’s reputation and milk supply chain

Qualifications, Education, and Competencies

  • Bachelor’s degree in Animal Production, Dairy Science, Animal Husbandry, or a related field
  • 3–5 years of experience in dairy farming, milk procurement, or milk processing
  • Experience working directly with farmers, cooperatives, or rural extension organizations (highly desirable)
  • Knowledge of milk quality standards, cold chain management, and supplier relations in the dairy industry

Skills, Knowledge, and Abilities

  • Strong understanding of dairy farming operations and milk collection processes
  • Excellent communication, negotiation, and interpersonal skills
  • Ability to organize routes, manage collections, and monitor milk volumes effectively
  • Proficiency in Microsoft Office (Word, Excel) and database management
  • Capability to lead field teams and manage multiple suppliers across locations
  • Commitment to quality, transparency, and continuous improvement
  • Willingness to travel extensively within milk-producing regions

Key Performance Indicators (KPIs)

  • Milk collection volume compared to targets
  • Milk quality compliance rate (rejection and contamination levels)
  • Farmer satisfaction and retention rate
  • Number of farmers trained or educated on quality milk production
  • Accuracy and completeness of supplier records in the database
  • Reduction in milk losses during collection (spillage, spoilage, transit delays)
  • Timeliness and accuracy of supplier payments
