Job Summary
The Accounts Assistant at Ruko Establishments Milk Factory supports daily accounting and financial operations, maintaining accurate financial records, processing transactions, assisting with reconciliations, and ensuring timely reporting to the Accountant. The role ensures compliance, efficiency, and accuracy in financial processes.
Roles, Duties, and Responsibilities
- Record daily financial transactions, including payments, receipts, and journal entries
- Maintain accurate and up-to-date ledgers, invoices, and financial documentation
- Prepare payment vouchers, bank deposits, and petty cash records
- Organize and file accounting documents for easy retrieval
- Process supplier invoices, verify supporting documentation, and schedule payments
- Track customer payments and reconcile with sales invoices
- Follow up on overdue accounts to ensure timely payments
- Assist with weekly and monthly bank and financial reconciliations
- Monitor and balance petty cash transactions
- Report discrepancies or variances to the Accountant promptly
- Support inventory reconciliation between accounting, store, and production records
- Monitor and document daily milk collections, packaging materials, and consumables usage
- Assist with stock counts and report discrepancies
- Prepare schedules for NSSF, PAYE, and URA for Accountant review
- Ensure all required documents are complete and properly stored
- Maintain confidentiality and adhere to company financial policies
- Generate daily or weekly financial summaries for management
- Assist with monthly financial reports and audit schedules
- Support the Accountant and Finance team with administrative tasks as needed
Qualifications, Education, and Competencies
- Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
- 2–3 years of experience in accounting or finance, preferably in a factory or FMCG setting
- Basic understanding of bookkeeping, accounting principles, and financial documentation
- Proficiency in Microsoft Excel and accounting software (e.g., Tally, QuickBooks, or ERP systems)
Skills, Knowledge, and Abilities
- Strong attention to detail and numerical accuracy
- Effective record-keeping and organizational skills
- Ability to meet deadlines and work independently
- Integrity, confidentiality, and professionalism in handling financial data
- Good communication and interpersonal skills

- Accuracy and timeliness of financial data entry
- Timely reconciliation of bank and petty cash accounts
- Accurate processing of accounts payable and receivable
